We're looking for an Executive Assistant to partner directly with our Co-CEO, Jeff, serving as the operational backbone of how he spends time, communicates, and executes. It's a high-trust role at the center of a fast-moving startup, where your work will have a real impact. You'll own core administrative work (75% of time), as well as personal administration (25% of time), all with precision, good judgment, and follow-through, so Jeff can stay focused on the highest-leverage work without things slipping through the cracks.
This role is ideal for someone who thrives in dynamic, fast-paced environments, whether that's a high-growth startup, a VC firm, or supporting an executive with a demanding, ever-shifting schedule.
Honesty and transparency: share what you observe, flag what could be better

Openness to direct feedback, in both directions
Own Jeff's calendar end-to-end: scheduling, rescheduling, conflict resolution, and prep
Manage complex, multi-stakeholder scheduling across investors, board members, customers, and internal leadership
Proactively surface & resolve scheduling conflicts
Ensure every meeting has the right prep materials, agendas, and context attached
Surface observations about how Jeff's time is being spent versus stated priorities
Manage Jeff's rhythm of business: weekly recurring meetings, monthly dinners, quarterly offsites, board cadence
Triage and manage Jeff's inbox while adhering to response time SLAs
Draft email responses and external communications on Jeff's behalf, adhering to clear, professional, executive-level communication standards
Route inbound requests to the right people with appropriate context
Coordinate end-to-end travel logistics: flights, hotels, car rentals, itineraries
Support event logistics for conferences, offsites, investor meetings, and board meetings
Independently own and manage a wide range of personal logistics, including healthcare scheduling, home maintenance, household services, accountant and tax coordination, reservations, and other day-to-day tasks with minimal oversight
Experience supporting executives administratively, demonstrating strong adaptability across varied operating styles
Strong attention to detail and organizational skills, consistently accurate in scheduling, communications, logistics, and managing competing priorities
Proactive communicator: you notice issues early and bring them up with a proposed solution; written communication is concise, professional, and clear
Proficiency with core tools (Google, Slack, Notion) and ability to learn new ones quickly. We run on a range of AI-native workflows.
Experience using AI tools to automate routine tasks to work more efficiently. Bonus if you can share something you've built or automated
Experience coordinating board meetings, investor relations, or external stakeholder scheduling
Experience supporting a Co-Founder or CEO
Your experience is primarily in office management, nonprofit, or large corporate environments without fast-paced executive support
You prefer analog systems (e.g., pen-and-paper) for task tracking
You'd need a long ramp-up period on modern productivity and AI tools
